Privacy Policy — Furano Site Review

This Privacy Policy describes how Furano Pacific Consulting Ltd. (“Furano”, “we”, “us”, or “our”) collects, uses, and shares information when you use the Furano Site Review mobile application (“the App”), available on Google Play and the Apple App Store.
The App is intended for internal use by employees and authorized sub-contractors of Furano and partner organizations conducting electrical engineering site reviews. It is not directed at the general public.

2. Information we collect
2.1 Information you provide directly

Account information: name, email address, and a password (handled by our authentication provider, Supabase). You create an account by accepting an invitation from a Furano administrator.

Site review content: text observations, severity ratings, and any notes you enter about a project site.

Photos: images you capture using the device camera or attach from the device photo library while documenting a site review.

Voice notes: short audio recordings you record on-site, which are transcribed into text observations.

Distribution recipients: names and email addresses you enter when designating who should receive a finished site review report.
2.2 Information collected automatically

Crash and diagnostic data: when the App crashes or encounters an unexpected error, we collect a stack trace, device model, operating system version, and a randomly generated installation identifier through Sentry (sentry.io) so we can fix bugs.

App interaction logs: timestamps of sync events, upload retries, and review-state transitions, stored in your account’s audit log to help us troubleshoot synchronization issues.
2.3 Information we do not collect
The App does not collect:

Your precise or approximate device location.

Your contacts, calendar, or messages.

Browsing or web-history data.
-
Health, fitness, or financial information.

Advertising identifiers, and we do not use the App for advertising.
3. Device permissions
The App requests the following device permissions, all only after you initiate an action that requires them:

You can revoke any permission at any time in your device’s system settings. Doing so may disable the corresponding feature.
4. How we use information
We use the information described above to:

Provide the core App functionality (creating, editing, and distributing site reviews).

Sync your work between your device and the Furano backend so reviews persist if your device is lost or replaced.

Generate PDF reports from your observations and distribute them by email to the recipients you designate.

Diagnose and fix crashes and bugs.

Maintain an audit trail of review-state changes for quality control and dispute resolution.

Comply with our legal obligations.
We do not use your information for advertising, profiling for marketing purposes, or sale to third parties.
5. Voice-note transcription
Voice notes you record are uploaded to our backend and processed by OpenAI’s Whisper API for speech-to-text, then by a polishing model that produces a clean observation summary. The audio file and the resulting transcript are stored alongside the rest of your review content. Per OpenAI’s API terms, audio submitted to the API is not used to train OpenAI’s models and is retained only as needed to provide the service.
6. How information is stored and shared
6.1 Storage location
Your account information, review content, photos, voice notes, and audit logs are stored in our backend infrastructure provided by Supabase (supabase.com), with primary data residency on the U.S. West Coast (AWS us-west-1). Photos are stored in a private object-storage bucket (review-photos). Voice recordings are stored in a private object-storage bucket (voice-notes). Both are accessible only with an authenticated Supabase access token tied to your account.
6.2 Service providers (“sub-processors”)
We share information with a limited set of vendors who process data on our behalf under contract:

We do not sell your personal information, and we do not share it with advertisers or data brokers.
6.3 Disclosure for legal reasons
We may disclose information when required by law, to comply with a valid legal process, or to protect the rights, property, or safety of Furano, our users, or others.
7. Data retention

Active review content is retained for as long as your account is active.

Crash and diagnostic data is retained by Sentry for 90 days, after which it is deleted.

Closed/archived reviews are retained for the duration of our business records-retention obligations (typically 7 years for engineering documentation in British Columbia).

Account data: if your account is deactivated, your personal account information is deleted within 30 days, except for content that has become part of a final engineering record, which is retained per the obligation above.
You can request earlier deletion by emailing info@furano.ca. We will respond within 30 days.
8. Security
We protect your information using industry-standard measures:

Transport-layer encryption (HTTPS / TLS 1.2+) for all data in transit between the App and our backend.

Encryption at rest for all data stored in our Supabase backend.

Role-based access control: only authorized Furano employees with a need-to-know can access stored review data.

Regular security reviews and dependency updates.
No system is perfectly secure. If we become aware of a breach affecting your information, we will notify you and applicable regulators as required by law.
9. Your rights
Depending on where you live, you may have the right to:

Access the information we hold about you.

Correct inaccurate information.

Request deletion of your information (“right to erasure”), subject to records-retention obligations.

Object to or restrict certain processing.
-
Receive a portable copy of your information.
-
Withdraw consent where processing is based on consent.
To exercise any of these rights, email info@furano.ca with your account email and the request. We may need to verify your identity before acting.
If you are in British Columbia or elsewhere in Canada, you also have the right to make a complaint to the Office of the Information and Privacy Commissioner for British Columbia (oipc.bc.ca) or to the Office of the Privacy Commissioner of Canada (priv.gc.ca).
10. Children’s privacy
The App is intended for use by adults (18+) acting in a professional capacity. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact info@furano.ca and we will delete it.
11. International transfers
If you use the App from outside Canada or the United States, your information will be transferred to and processed in those countries. Privacy laws in those countries may differ from those in your country of residence. By using the App, you consent to that transfer.
12. Changes to this policy
We may update this policy from time to time. When we do, we will update the “Last updated” date above and, for material changes, notify you in-app or by email before the change takes effect.
